Comments/Updates by Technician

Overview

There are two options for technicians to communicate within Launchpad. Both are accessible from the Feed location within the request. One is Comment and the other is Update.

The only option to communicate in Launchpad as a requestor is Comment.

Comment

The comment box can be broken down into three sections. The “Make comments private” checkbox, the Notify field, and the Body.

Private Comment

The first selection, “Make comments private” checkbox, is only available to technicians. If this box is checked, it means that when the message is posted, it can only be viewed in the Feed area by other technicians. Any comment posted as private will have the (private) tag after the person’s name to indicate its private status.

The requester, along with anyone else viewing the request from the front end, will not see any communication marked private. Technician must uncheck that box to create messages a requestor can see from the front end.

If a mistake was made and a comment was posted as private that you intended to be public, you can go to the More section of the posted comment in the feed, and choose Mark Public from the list. The (private) tag will disappear and the comment will now be visible from the front end for everyone, including the requestor.

If the comment is public, you will instead see the option to Mark Private if you needed to do the reverse.

Notify

The Notify field allows you to select multiple people to receive an e-mail with your communication in it. If nobody is selected for the notify field, your comment will be added to the request’s feed, but no one will receive an e-mail alert with your comment.

The notify field will list individuals who are connected to the request. This will include the person who created the request (Creator). The person who the request is for, if different from the creator (Requestor). The person who the request is assigned to (Responsible) along with additional entities such as reviewers or contacts who were added to a request (Contacts). If there is someone that you are trying to communicate with someone not listed as an option to select, you will not be able to notify them using this method.

If you select someone to notify someone who does not have a technician role while your “Make comments private” checkbox is checked, you will receive the following alert: One or more requestors, contacts, or other people have been selected and the comments are marked as private. Mark Public

If you do not uncheck the box when sending it to a non-technician, the individual will receive the e-mail notification, but they will not be able to view the comment when looking at the request’s feed from the front end.

Body

The body is where you can add your comment. Within the body field are options to format (i.e. bold, italics, underline), change the font, or size of your communication. The body will also allow bullets, photos, tables, and links. This formatting will appear in the feed for the person viewing it.

Update

Selecting Update provides access to additional fields beyond what is available when using Comment. Update includes the same fields from the previously discussed Comment section along with the additional fields: Notify Other People, and Other Email Addresses.

Notify Other People

Use Notify Other People to select individuals who are not available in the Notify field as they are not connected to the request. The selectable list of individuals available is synced from Workday which only includes UCF employees.

Other Email Addresses

Use Other Email Addresses to select individuals who are not available in the Notify Other People field. This could include non-UCF employees (i.e. consultants) or UCF employees who are not listed in Workday (i.e. Athletics).
